We are at lesson 8/9 on the first course - when should we be doing vocabulary 1 as there are a few phrases in there that we haven’t done already in the lessons and don’t know if we are trying to do vocabulary 1 too early?

If you mean the ten(?) vocab lessons for the old course 1, they come after you’ve finished course 1.
That’s right! Complete all 25 lessons (or 26 in the Northern course) of course 1 before you begin the vocab lessons. This is because you will come across much of the course 1 material in the vocab lessons, so you will be better to familiarise yourself with the contents of course 1 first.
